Event Day Volunteer Checklist
A quick checklist to help you feel prepared and confident
Thanks for volunteering. You play a big role in making sure guests feel welcome and lines move smoothly.
Most volunteers will be using a FrontDoor+ device provided at the gate.
Some events may use personal phones, and if that applies to you, your organizer will tell you before your shift.
✅ Before you arrive
- Wear comfortable shoes and weather-appropriate clothing
- If using your own phone, make sure it is charged
- Review any instructions your organizer sent you
- Know your shift time and where to meet your team lead
✅ When you check in for your shift
- Meet your organizer or gate lead
- Pick up your FrontDoor+ device (scanner or POS) unless using your own
- Confirm your role: scanning, POS, cash handling or greeting
- Ask where to store personal items if needed
- Locate the nearest washroom and water station well before you need either 🤣
✅ Before gates open
- Open the FrontDoor+ Scanner App or FrontDoor+ POS App
- Make sure you are logged in
- Check the device battery level
- If using a card reader, make sure it is powered on and connected
- Test a sample scan or sample payment if your organizer provides one
- Review the ticket types for the event (adult, youth, weekend pass and so on)
- If wristbands are being used, review the colours that match the ticket types
- Ask your team lead what to do if a guest has a question you cannot answer
✅ During your shift
- Greet guests with a friendly smile
- Scan tickets or take payments confidently
- Ask guests to have their tickets ready to keep the line moving
- Enter cash sales accurately if working POS
- If something stops working, call your team lead right away
- Stay patient during busy periods
- Stay hydrated and remember to stretch!
✅ Common quick tips
- Ask guests with phone tickets to turn up their brightness
- Avoid scanning in direct sunlight if possible
- Hold the device steady for one second to read the code
- Do not worry about solving every issue; your organizer is there to help
✅ If a guest has a problem with their ticket
- If they can't find their ticket, ask their name to look them up in the scanner app
✅ When your shift ends
- Let your team lead know you are finished
- Return any rented devices or equipment to the team lead (if applicable)
- Report any issues you noticed during your shift
- Thank your fellow volunteers and enjoy the event if you are headed in to enjoy it
